The Parent Portal is a self-service area where parents can manage their family’s information, view classes, check schedules, manage bookings and stay up to date with their child’s enrolment. Once your studio is set up, the portal becomes one of the most useful tools for reducing admin and giving families easy access to everything they need.
Parents access the portal through your studio’s login page. This will usually sit on your website or be provided as a direct login link. They log in using the email and password created when they registered, either through your public registration form or when you created their account in the system.
When they log in, they’ll see your studio branding, logo and colours, so the portal feels like an extension of your studio rather than a separate system.
Once inside, parents will see a menu that allows them to navigate through all available features. As the studio admin, you can control which features are visible. If there are areas you don’t want parents using yet, you can simply disable them from the admin settings.
The My Students section is the main hub for parents. This is where they can see all children linked to their account. Each child will appear with their current enrolments, class information and status.
This area allows parents to quickly check what each child is enrolled in and ensures they always know which classes they are attending. If a family has multiple children at the studio, everything is visible in one place, making it easy for them to manage their schedule.
The Browse Classes section allows parents to view all classes your studio currently offers. This is particularly helpful for families who are considering adding extra classes or enrolling another child.
Parents can explore what’s available and see the options you’ve made visible in your public class listings. This removes the need for them to email or message asking what classes are available, as they can browse directly inside their portal.
If your studio offers private lessons, parents will be able to view and manage bookings from the Private Lessons area. They can see upcoming bookings along with details such as teacher name, time, date and location.
This keeps all private lesson information in one place and allows parents to quickly confirm what has been booked without needing separate reminders or emails.
The Timetable section gives parents a clear weekly view of their children’s classes. This is one of the most useful features for families, as it shows everything visually in a weekly format.
Parents can quickly see:
• Which days their children have classes
• What times those classes run
• Which classes each child attends
This helps families plan their week and keeps everyone organised without needing separate schedules or reminders.
Parents can also view attendance history through the portal if this feature is enabled. This allows them to see whether their child attended each class and gives transparency around absences or missed lessons.
Studios can choose whether or not to show attendance in the portal depending on how they prefer to communicate this information.
The billing area allows parents to see their invoices, charges and payment history. If you have online payments or direct debit enabled, parents can also manage their payment details from inside the portal.
This reduces the need for manual invoicing questions and gives parents a clear understanding of their account at any time. Many studios find that once parents begin using the portal regularly, billing queries drop significantly because everything is visible in one place.
The Parent Portal is designed to reduce admin for your studio while giving families a smooth and professional experience. You don’t need to turn on every feature straight away. Many studios start with just the basics such as enrolments, timetable and billing, then enable additional features once they feel comfortable.
The most important thing is making sure parents know the portal exists and encouraging them to use it. Once families get used to logging in and checking their information themselves, it saves a huge amount of time answering common questions.
The Parent Portal becomes the central place for families to interact with your studio online. It keeps everything organised, gives parents visibility over their child’s enrolments and removes a lot of back-and-forth communication.
Once your classes, enrolments and billing are set up, the portal runs quietly in the background, giving parents access to everything they need while allowing you to focus on running your studio
