This guide follows along with the Trials setup video and explains exactly how trials work inside Class Manager.
Before continuing, make sure you have completed:
Initial setup
Families and students
Classes and packages
Trials sit on top of that setup and help you convert enquiries into enrolled students smoothly.
There are two different types of trials available:
Per-class trials (simple single class trials)
Pricing package trials (structured multi-class trial periods)
Both are built into Class Manager and designed to make trial tracking and conversion easy.
Once you understand the difference, you can choose the setup that best suits your studio.
Per-class trials are the standard option most studios use.
This is when:
A student tries one specific class before committing to full enrolment.
Example:
A child trials Jazz on Monday
A preschooler trials one class before joining
A student tests a class level
Per-class trials are already built into your enrolment system.
They can be created in two ways:
From your public registration form
Manually by an admin
Parents submit a trial request through your public registration form.
When this happens:
The request appears in your admin dashboard
You can review it
Approve or decline
Once approved:
The student is automatically enrolled
Status is set to Trial
They appear in class rolls
You can also set a trial end date so the system knows when the trial period finishes.
You can also manually enrol a student as a trial:
Go to Enrolments
Add student to class
Set status to Trial
Add trial end date (optional)
Once a student decides to continue, converting them is simple.
On the Enrolments page, any student on trial will show a Full button.
Click Full
Confirm in the popup
System updates automatically
The system will:
Change status from Trial → Active
Remove trial end date
Generate correct charges
Activate billing
That’s it — no need to re-enrol the student.
Per-class trials are:
One class → one student → convert when ready
This option is for studios offering structured trial periods linked to packages.
Instead of trialling one class, you can offer:
Two-week unlimited trials
Preschool sampler programs
Multi-class trial bundles
Short intro programs
These trials connect directly to your full pricing packages.
First, you must already have your normal pricing packages created.
Example:
1 class per week package
3 class package
Unlimited package
Then you create a trial version of that package.
Go to your Class Packages area.
Find the full package you want to base the trial on.
Click the clock icon (Create Trial Package).
This creates a linked trial version of that package.
You can then set:
Trial duration (example: 2 weeks)
Trial price (example: $50 trial fee)
Included classes (copied from original package)
The trial package stays linked to the full package it came from.
When a parent registers using a trial package:
The trial package is assigned to their billing profile
Students are enrolled into included classes
Enrolments are marked as Trial
Trial pricing is applied
Everything is handled automatically.
When the student is ready to continue:
Go to the Enrolments page and click Full.
The system recognises they are on a trial package and will show a confirmation message.
Once confirmed:
Trial enrolment becomes Active
Trial package switches to full package
Correct billing begins
Charges generate automatically
Everything syncs across the system
No manual changes required.
If you do not want the system to automatically switch to the full package:
You can untick the auto-swap option and manage billing manually.
Most studios will leave this on.
