You can import: Contacts (parents with their students - up to 7 per family), Classes, or migrate from other studio software using Quick Import. Each import type has a template showing the required and optional columns. Data is validated before import.
Quick Import is a streamlined way to migrate your existing data from Studio Pro software. It reads Studio Pro's Excel export files and automatically creates your classes, parents, students, and parent-student links in Class Manager. This saves hours of manual data entry when switching from Studio Pro.
Go to Import in the sidebar - Quick Import is the default tab. You need two export files from Studio Pro: 1) Classes List (from Reports > Classes List),
and 2) Parent Email Export (from Reports > Parent Email Export).
Upload both Excel files, click 'Parse Files' to preview what will be imported, review the data in the preview tables, then click 'Import Data' to complete the migration.
Quick Import creates: Classes (with name, schedule, location, teacher, and fees), Parents (with contact details and login accounts), Students (extracted from parent records), and Parent-Student Links. Note: Enrolments are NOT created because Studio Pro's export doesn't include which specific students are enrolled in which classes - only aggregate counts. You'll need to create enrolments manually after import.
Studio Pro's Classes List shows aggregate enrollment counts (e.g., '12 of 25 enrolled') but doesn't identify which individual students are in each class. The Parent Email Export contains all student names but doesn't indicate their class enrolments. Without per-student class data, enrolments must be created manually in Class Manager after the import.
Quick Import reads Excel files (.xlsx or .xls) exported directly from Studio Pro. Use the default export settings when generating your reports - the system automatically recognises the standard column layout from Studio Pro's Classes List and Parent Email Export reports.
Go to Import, select 'Contacts', and download the template. Fill in parent details (name, email, phone) and student details (name, DOB) in the provided columns. Upload the completed CSV and the system will validate before importing.
Go to Import, select 'Classes', and download the template. Fill in class details including name, season (must match existing season), day, time, and optional fields like teacher, capacity, and fee. Upload and validate.
The system validates all data before importing. If errors are found (missing required fields, invalid values, duplicates), a report is shown listing each error with the row number. For Quick Import, issues are displayed in the preview step before you confirm. Fix the errors in your file and re-upload.
Import is primarily for creating new records. If a record already exists (e.g., same email for a parent), the system will show a warning or error. Quick Import shows potential conflicts in the preview so you can review before importing. To update existing records, use the admin interface.
Yes! When you import contacts (either through CSV import or Quick Import from Studio Pro), Family records are automatically created for each parent. The family is named '[LastName] Family' and all students are linked as family members. This means imported families immediately appear in your Families page where you can manage billing, record payments, and track family details.
We're continuously adding support for more studio management software. If your current software isn't listed, click the 'Contact My Studio Manager Support' button in the Quick Import section. Let us know which software you're using and we'll work on adding it.
