The Task Manager in My Studio Manager gives you an easy way to organise projects, track work, and keep your studio running smoothly. When you first install the Task Manager, your screen will look simple — you won’t see any projects yet until you create your first one.
This guide walks you through what you’re looking at and how each part works.
When you open the Task Manager, you’ll land on the Project Dashboard. This is where all of your projects will appear once created.
From this screen, you can:
Create a new project
Open an existing project
Manage users, templates and procedures
Access all tasks across every project
If you haven’t created anything yet, the dashboard will be blank.
Click Add Project to get started.
You’ll see the following fields:
Give your project a clear name and a short description.
Example:
Project Name: Term 1 Timetable
Description: Set up and finalise classes for Term 1.
You can assign team members to the project. Your own name won’t appear in the list because you’re added automatically.
Tabs help you organise tasks inside your project (similar to lanes or columns).
You can:
Add as many tabs as you need
Choose a colour for each tab
Rearrange or rename them later
If you were already using tasks inside My Studio Manager before installing the Task Manager add-on, you can import those tasks into your new project.
If you don’t have any existing tasks, you can ignore this option.
Once you’re done, click Finish and the project will appear on your dashboard.
Every project has a three-dot menu on the right-hand side.
If you’re on a smaller screen, it may be slightly hidden — scroll or look closely to find it.
Inside this menu, you can:
This is important for automations.
When building workflows, you can use the Project ID to automatically create tasks inside this specific project.
Change the name, description, team members or tabs.
Invite additional users to collaborate on the project.
Create a duplicate of the project inside the same account — helpful for repeating processes.
If another studio or sub-account has a project layout you like, they can share it with you.
To receive it, simply give them your Receiving ID, which appears at the top of your dashboard.
You can also share your projects with them the same way.
Delete the project entirely.
You’ll notice one project marked as Preferred Project.
This means:
When a task is created inside My Studio Manager (for example through automations or forms)
It will be placed automatically into your Preferred Project
Tasks will not go into other projects unless a workflow specifically sends them there
You can change your preferred project at any time through the three-dot menu.
Inside each project, you’ll find:
Shows everyone who has access to that project.
These are step-by-step processes you can create to standardise tasks for your studio (e.g., onboarding a new student, setting up trial week, issuing uniforms).
Reusable task templates to speed up repetitive work.
A complete view of all tasks across every project — useful for getting a high-level overview of everything happening in your studio.
