Procedures in HIVE PROJECTS allow you to launch a set of tasks instantly — perfect for repetitive studio workflows where you regularly perform the same sequence of actions for new clients, events, enrolments, staff onboarding, or admin processes.
Instead of recreating 10–20 tasks manually each time, a procedure lets you generate all tasks at once with a single click or automatically through a tag in My Studio Manager.
This guide shows you exactly how procedures work and how to set them up.
A Procedure is a group of tasks bundled together.
Use procedures when:
You perform the same steps repeatedly
You onboard new clients or students
You complete the same admin each term
You have structured workflows (e.g., “New Enrolment Process”)
You need a checklist repeated across clients
A procedure can contain any number of tasks, and all those tasks can be instantly created inside a project for any client you choose.
To create a procedure:
Open HIVE PROJECTS
Go to Procedures
Click Create New Procedure
You’ll be asked to enter:
Example: Loom Procedure, New Student Onboarding, Show Week Checklist
How many days after the procedure runs should the first task start?
0 = starts today
1 = starts tomorrow
2+ = starts in X days
How many days after the start should the tasks be due?
Example:
Start date = 0
Due date = 5
→ Tasks will be due 5 days after they’re created.
You can trigger the procedure either:
Manually, or
Automatically, when a specific tag is applied inside My Studio Manager workflows
This means you can do things like:
When the tag New Student is added → automatically launch the 12-step onboarding procedure.
Choose which project the tasks should be created in.
Example:
Test Project
Admin Tasks
Uniform Orders
Show Preparation
This tells HIVE where all generated tasks should go.
Click Create to continue.
Once the procedure is created, click Setup to begin adding tasks.
For each task, you can set:
Task Title
Assigned User
Description
Priority (Low / Medium / High / Very High)
Example:
Title: Project One
Assignee: Yourself
Priority: Very High
Title: Project Two
Assignee: Yourself
Priority: Medium
You can add as many tasks as needed.
Each task inside the procedure will be generated automatically when the procedure runs.
Inside the procedure, click:
Start Procedure → Select Project → Start
This instantly creates all tasks in the selected project.
You will see:
All tasks appear at once
Each task assigned to the correct user
Start and due dates applied based on your offsets
You can also trigger a procedure from inside a My Studio Manager workflow using tags.
Example:
Open Contacts
Choose a contact
Add the tag that matches your procedure name (e.g., lume)
HIVE will automatically create all tasks for that client
You’ll also receive a notification confirming the tasks were created.
To find your generated tasks:
Go to the project you linked the procedure to
All tasks will appear instantly (e.g., Project One, Project Two)
They will show:
Who created them
Who they’re assigned to
Their associated client
This ensures everything is clearly connected and trackable.
