When you (or a parent) fill out a form in My Studio Manager, the information entered is saved directly to the family’s contact profile. Because many families have more than one child, we’ve designed the system to organise student details safely and avoid overwriting important information.
This guide explains how that works and what to be aware of.
Each family in My Studio Manager can have up to three students listed on their account (we can add more if required):
Student 1
Student 2
Student 3
To help keep things organised, we use two different types of form fields:
These fields simply say:
Student First Name
Student Last Name
Student Date of Birth
When a form is submitted using these standard fields, our system uses an automation and places that child’s information into the next available student slot. It will also check if that students first name is already in a slot to prevent duplicates.
For example:
Your first submission becomes Student 1
Your second submission becomes Student 2
Your third submission becomes Student 3
This keeps everything in order and prevents accidental changes to existing student details.
Some forms may include fields like:
Student 1 First Name
Student 2 Last Name
Student 3 Date of Birth
These fields update that specific student slot directly.
This is helpful for internal admin use, but it can replace existing information if filled out incorrectly.
If you have more than one child, you will need to submit the same form once per child when standard student fields are used.
This is intentional — it keeps each child’s information separate and ensures all details go into the correct place.
To keep your information accurate:
Using the standard “Student First Name / Last Name / Date Of Birth” fields (without numbers) will not overwrite any existing student details.
Using the numbered “Student 1 / Student 2 / Student 3” fields can overwrite previously saved information if the form is filled out in a different order than before.
For this reason, we recommend most public forms only use the standard fields to keep your student profiles safe and tidy.
Ask they submit the form once per child.
Use accurate details for each child in each submission.
If a child has left or details change, contact the studio so they can update the record safely.
Only enter the child that belongs in that exact slot.
If you’re unsure which child is saved as Student 1, 2, or 3—just contact the studio and they can check for you.
This approach:
Prevents accidental data loss
Keeps siblings organised
Ensures each child’s registrations, notes, and class history stay linked to the correct student
Supports accurate automations such as welcome messages, trial confirmations, and attendance systems
