Welcome to the Automations tutorial. In this tutorial, we’ll show you how to create your first automation in My Studio Manager.
Automations are a powerful way to save time and streamline your communication. In this example, we’ll set up a simple automation.
When the “Enrolled” tag is added to a client, it will automatically trigger a welcome email, a welcome SMS, and a note will be added to the client’s account to log the actions.
Let’s get started.
Step 1: Create a new workflow
To begin, navigate to the Automation section in the menu and click on Workflows.
Once you’re there, click the Create Workflow button. You can either start from scratch or choose a pre-built template. For this example, we’ll start from scratch.
Step 2: Add the “Tag Added” trigger
Next, we’ll choose a trigger for the workflow. Click on Add New Workflow Trigger and search for the “Tag Added” option.
This will allow us to trigger the workflow when a specific tag is added to a contact. Now, set the tag to “Enrolled” and click Save Trigger.
This means whenever the “Enrolled” tag is applied to a contact, the automation will begin.
Step 3: Add a welcome email
Now that we have our trigger, the first action we want to add is to send a welcome email. Click Add Action, then choose Send Email from the list.
You can either use an existing email template or compose a new one that welcomes the client to your studio.
Make sure the email contains all the relevant information, like what the next steps are for the newly enrolled student. Once you’re happy with the email, click Save.
Step 4: Add a welcome SMS
Next, let’s send a welcome SMS to the new client. Click Add Action again and select Send SMS.
Write a simple and friendly message welcoming the client and confirming their enrollment. Once you’ve written your message, click Save.
Step 5: Add a note to the client’s account
Finally, we’ll add a note to the client’s account to track that the email and SMS have been sent.
Click Add Action, then select Add Note. In the note, write something like, “Sent welcome email and SMS to the client on [date].”
This helps keep a record of the communication for future reference. Once done, click Save.
Step 6: Review and activate the workflow
Now that we’ve added all the steps—triggering the workflow with the “Enrolled” tag, sending a welcome email, sending a welcome SMS, and adding a note—it’s time to review everything.
If all looks good, click Save and toggle the workflow from Draft to Active to make it live.
