Hello again and welcome to the calendar’s tutorial. In this tutorial, we’ll show you how to use the calendar feature in My Studio Manager.
You’ll learn how to create a calendar, embed it on your website, book appointments via the conversations window, and set up automations for SMS and email reminders.
Perfect for trial lessons and ongoing classes. Let’s get started! To create a calendar, navigate to the Settings section from the left-hand menu and select Calendars.
Then, click Create Calendar to begin. First, give your calendar a name, like Trial Lesson Bookings. Choose the type of calendar, such as for individual bookings or group classes.
Set your availability. Specify the days and times your studio is open for trial lessons, including any buffer times between bookings if needed.
You can also configure the duration of each appointment and any restrictions like minimum booking notice. Next, customize the booking form to gather client information.
You can add fields like name, email, phone number, or include custom fields relevant to your studio’s needs. Enable notifications to ensure both you and your clients receive confirmation emails or SMS when an appointment is made.
Sync your calendar with Google Calendar or Outlook for seamless management of your schedule. Once your calendar is created, it’s time to embed it on your website so clients can book appointments online.
Go back to the calendar settings and find the embed code. Copy the code and paste it into your website’s HTML where you want the calendar to appear.
This will allow your clients to see available time slots and book trial lessons directly from your website. If you’re chatting with a client through the Conversations window and they want to book a lesson, you can manually create an appointment.
Go to the Conversations tab, find the client’s message, and click the Book Appointment button. Select the appropriate calendar, such as Trial Lesson Bookings, choose an available time slot, and confirm the booking.
Reduce no-shows by setting up automated reminders for appointments. In Automations, create a new workflow triggered by an appointment booking. Add actions to send an email reminder and SMS reminder 24 hours before the appointment.
Customize the message to include details such as the appointment time and contact information in case clients need to reschedule. And that’s how to create and manage calendars in My Studio Manager.
By embedding your calendar on your website, booking directly through conversations, and automating reminders, you’ll keep your clients informed and reduce no-shows.
